In daily use at a UK family mediation firm

The paperwork of mediation, drafted for you.

Mediate turns enquiries, MIAM appointments and session transcripts into finished intake forms, certificates, letters and billing entries — inside the Microsoft 365 or Google Workspace your firm already runs on. Nothing sends, files or bills until you approve it.

Built for mediation firms in London — in daily use today.

Designed alongside a working family mediation practice, on live cases — not modelled on how firms are assumed to work.

01Capabilities

Four jobs your team does by hand. All four, drafted.

Mediate sits on top of the systems you already use and takes the repetitive drafting off your desk — while leaving every decision exactly where it belongs.

Intake

Forms that fill themselves

Enquiry emails and screening calls become a completed intake form against your own template — one pass per party, never merged.

Sessions

Appointments become documents

MIAMs and mediation sessions are transcribed, then drafted into certificates, attendance notes and follow-up letters in your house style.

Billing

Time that reaches the sheet

Work is matched to the right matter and proposed as new rows on your existing billing sheet. It only ever adds — it never overwrites.

Correspondence

Letters waiting on your send

Client updates, exemption letters and chasers arrive as drafts in your own mailbox, written from the case file and ready for review.

02How it works

Receive. Extract. Draft. Approve.

The same four steps whatever comes in. This is what happens between an enquiry landing and a document being filed.

01 — Receive

An enquiry arrives in the firm's inbox

JB
J. BloggsOutlook / Gmail
“I'd like to arrange mediation with my ex-partner about our two children. We separated last year. Could you tell me about a MIAM?”
02 — Extract

Mediate reads it and classifies the matter

Conflict check clearChildren matterSafeguarding screen required

Opened as a new matter, with both parties created as separate records

03 — Draft

Context is pulled from your live systems

SharePoint or DriveOutlook or GmailExcel or Sheets
  • Your intake template filled — one pass per party, never combined
  • Safeguarding answers inserted verbatim, never summarised
  • Conflicting answers — flagged, not resolved
Party A saysSeparated March 2024
Party B saysSeparated August 2024

Where parties disagree on a shared field, both accounts are shown side by side. Mediate never silently picks one.

04 — Approve

You review, then it goes where the work lives

  • Filed to the matter folder in SharePoint or Google Drive
  • Opening billing line appended to your Excel or Sheets workbook
  • MIAM invitation waiting as a draft in your own mailbox
03The approval gate

Nothing sends, files or bills without you.

Mediate drafts. You decide. That line is structural — not a preference someone can switch off on a busy Friday afternoon.

Queue

Every outbound action waits

Emails, filings and billing entries sit in a review queue. There is no code path to the outside world that skips it.

Edit

Change it before you approve

A word, a date, or the whole letter. Your edits inform how the next draft is written.

Record

Your systems stay the record

Microsoft 365 and Google Workspace remain the source of truth. Mediate reads live and only ever adds.

Trail

A full trail, permanently

Who approved what, when, and against which draft — written to an append-only log you can export.

Dear Mr Bloggs,

Thank you for attending your Mediation Information and Assessment Meeting on 4 August 2026. As discussed, I have written to Mrs Bloggs to invite her to a separate MIAM.

Following our conversation, I consider this matter suitable to proceed to joint mediation, subject to her attendance…

04Integrations

Runs on Microsoft 365 or Google Workspace.

No migration, no second case management system, no asking your team to learn another interface. Mediate connects to the tenancy you already have and works inside the files and mailboxes you use today.

Mixed estates are fine — plenty of firms run Google for mail and Microsoft for documents. Mediate connects to each service independently, so you can use either side of this table in any combination.

05Security & data protection

Client confidentiality was the first requirement, not the last.

Family mediation handles some of the most sensitive material in law. Mediate was architected around that from the first line, with data handling designed to comply with UK GDPR.

Residency

UK and EU data residency

Case data is stored in a UK or EU region. Documents, transcripts and mail stay inside your own Microsoft or Google tenancy.

Access

Role-based access control

Row-level security across every case table, with distinct principal, administrator and auditor roles. Anonymous access is revoked outright.

Audit

Append-only audit log

Every read, draft and approval is recorded and cannot be edited or deleted by ordinary users — administrators included.

Training

No training on your data

Client material is never used to train models. It is processed to do the job you asked for, and nothing beyond it.

Isolation

Cross-party isolation

Each party is handled in a separate, structurally enforced pass. Party A's answers cannot leak into Party B's file.

Compliance

Built to GDPR regulations

Data handling is designed to comply with UK GDPR and EU GDPR: UK or EU residency, access controls, retention limits and a full audit trail.

06Book a demo

See it running on matters like yours.

Twenty minutes, no slides. We walk through a real intake, a real MIAM write-up and a real billing run, then talk about what it would take to run it in your practice.

  • A live walkthrough, not a recorded pitch
  • Straight answers on data protection and where your files sit
  • An honest view on whether it fits your firm — including when it doesn't
  • A reply within one working day

Used only to arrange your demo. No mailing list, no sharing with anyone else.
